-All shelters include access to charcoal grills, trash receptacles, electricity, and restroom facilities. All shelters are handicapped accessible.

-Rental fees include exclusive use of the shelter only. It does not restrict the use of the playground, restrooms, green space, or the parking lot.

-Fee must be paid 15 days prior to the date of reservation at the Parks and Recreation Office, located at 8 Pirate Parkway, or out-of-town patrons may mail payment to 212 Chestnut Street, Berea, KY 40403

ALL PARTIES ARE FROM 7:00 p.m. – 9:00 p.m.

Reservations & Fees:

  • Rental Fees: $200 (plus an additional 6% state rental tax)  for up to 100 total people ($3 for each additional person) per party.  
  • The ENTIRE amount of rental fee is required 48 hours after the reservation is made.
  • Rental fees include exclusive use of the pool, slide, diving well, bathhouse (except for concession stand), and deck area.  A minimum of three (3) lifeguards and one (1) manager will be provided depending on the total number of people expected.

Refund Policy:

  • A full refund, or the ability to reschedule for an available date, will be given in the event of inclement weather as determined by the pool management staff on duty.  Inclement weather includes: heavy downpours, lightning, thunder and severe weather.
  • A full refund will be given for a cancellation that is made 14 days or more in advance.
  • A Partial refund (one-half the total amount) will be given if the reservation is canceled  between seven (7) and 13 days in advance.
  • No refund will be given if: (1.) a cancellation is made six (6) days or less in advance, (2.) No cancellation is made, or (3.) the party host cancels due to undesirable conditions.

Rules & Regulations:

  • Guests must adhere to all posted pool rules and regulations. The same rules that apply during Daily Operation of the pool, still apply during pool parties. If there are any questions regarding these rules, please ask before making a reservation.  Copies of the Pool Rules and Regulations are available upon request.
  • The City of Berea is NOT responsible for any injuries that occur outside of the pool during party related activities.  Responsible Party Host(s) shall be liable for and shall hold City harmless from any and all liability for injuries and/or damage to any persons or property caused by Responsible Party Host(s) or members of his/her party.
  • No alcoholic beverages.
  • No littering.  The Party Host(s) is/are responsible for making sure that all trash has been properly disposed of in the dumpster and that all cans have new trash bags. A fee of $50 will be assessed for failure to properly clean the premises.
  • All rentals require chaperones, there must be at least One (1) adult for every ten (10) kids.
  • Refreshments and food MUST be kept in the concession area.
  • If there is a problem upon arrival at the Pool, contact the on-duty Manager immediately.  Please notify the Recreation Director of any deficiencies with the Pool or staff on the next business day following your party.

Softball Field Rental

Parks and Recreation Department activities have first priority. Other rentals are based on field availability and activity approval by the Parks and Recreation Director.

Times:

Tournament Rentals must fall within the following: Fridays – 5:00 p.m. – Midnight
Saturdays & Sundays – 9:00 a.m. -Midnight (No games may start after 11:00 p.m.)
Lights must be off by Midnight

Rental Fees:

  • Without Lights – $100.00 (Rates are per field, per day).
  • With Lights  – $125.00 (Rates are per field, per day).
  • Clean-up/Damage Deposit – $50.00 (refundable).
  • 50% of the rental fee is due at the time of the reservation.
  • The balance, clean-up/damage deposit, and tournament bracket/schedule is due 2 weeks prior to the date of the reservation.
  • Cancellations made 15 business days or more prior to the event will receive a full refund.
  • Cancellations made less than 15 business days before the event will not be refunded.
  • In the event the Tournament is canceled by Parks and Recreation staff due to inclement weather (prior to the start of games), the renter will receive a full refund. If games have been played, a refund will be pro-rated.
  • The renting group is responsible for any damages done to the field or related facilities and will be billed at the current rate for any repairs over and above the money from the forfeited damage deposit.

Parks and Recreation will furnish the following:

  • Keys to the press box, lights, and bathrooms (Keys must be returned within 2 business days of the completion of the game or tournament, or the renter will be billed $50 for key replacement). Keys must be picked up by 1:00 p.m. on the Friday prior to the Game/tournament.
  • Bases Lining and dragging of the field once prior to the start of the game each day
  • All trash generated by your games or tournament must be bagged daily and placed in or next to the trash receptacles provided. This includes areas in and around fields, dugouts, restrooms and other areas utilized during your game/tournament

Inclement Weather:

  • In order to prevent damage to the field, in the event of bad weather, Parks and Recreation Staff has the final authority to postpone or cancel the tournament.
  • Umpires must be directed by tournament officials to use their best judgment regarding the safety of the players.
  • In the event of uncooperative weather at softball fields, water is NOT to be pushed into the grass, nor is any foreign substance to be used to accelerate drying.
  • Because injuries do occur during athletic events, it is highly recommended that the tournament carry blanket medical coverage or that all participants carry individual medical insurance.
  • It is the responsibility of the tournament sponsor/director to ensure that all players are sufficiently trained and conditioned to participate and that all equipment is in good condition and is proper and official for that particular sport and association.
  • Parks and Recreation reserves the right to deny use of the field due to other Parks and Recreation programming, prior abuse of the field by group applying to rent the field, and/or weather and safety related concerns.

Renter may sell concessions ONLY through written permission from the Parks and Recreation Director

Ball Field Rental Rules

  1. No alcoholic beverages or unlawful substances are allowed.
  2. No glass containers
  3. No smoking is allowed in the dugouts, stands, complex platform or field.
  4. No profanity or abusive language shall be used in the park.
  5. No vehicles are allowed in the complex.  All vehicles are to be parked in the Berea Community School parking lot. All others WILL BE TOWED at owners expense
  6. No fighting or physical abuse of spectators or participants is allowed.
  7. No firearms of any kind are allowed on park grounds.
  8. All participants and spectators must remain behind the fence.
  9. Bathrooms are to be checked regularly for problems and security.
  10. No profanity or verbal abuse of umpires or park personnel will be tolerated.
  11. No motorized vehicles are allowed on fields. This includes mowers, ATV’s, golf carts, trucks etc.

Soccer Field Rental

Parks and Recreation Department activities have first priority. Other rentals are based on field availability and activity approval by the Parks and Recreation Director.

Times:

Time of use will be determined on an individual basis. Renter will use a chart to request the times. Once the request is received, times and dates will be presented to local youth user groups to confirm field availability.

Lights must be off by Midnight

This includes areas in and around fields, bleachers, restrooms and other areas utilized during your game/tournament. Concession Stand: Renting group will be responsible for all of the cleaning and trash removal inside of the building. Restrooms will be the responsibility of the renting group-If park staff clean, group will be charged at overtime hourly rate of Park employee.

Inclement Weather:

  • In order to prevent damage to the field, in the event of bad weather, Parks and Recreation Staff has the final authority to postpone or cancel the tournament.
  • Referees must be directed by tournament officials to use their best judgment regarding the safety of the players.
  • In the event of uncooperative weather at soccer fields, please do not use them until you have spoken with the Parks and Recreation Director.
